Most professional writing today is done using word processors, such as Microsoft Word, Google Docs, and Apple Pages. These programs are designed not only to create documents but also to help you revise and polish your writing through built-in editing tools.

Nearly all word processors include similar features to help you spot and correct errors:

  • Spell checkers to highlight misspelled words and suggest corrections

  • Grammar checkers to flag common grammar and punctuation mistakes

  • Word suggestions to improve word choice or simplify phrasing

  • Readability tools to assess sentence complexity or clarity (available in some versions)

  • Track changes and comments, useful for editing drafts or collaborating with others

Tips for Using Word Processors in Business Writing

  • Don’t rely on the checker alone. Automated tools often miss issues with tone, clarity, or logic—and may suggest changes that don’t fit the context.

  • Proofread after using AI tools. Review the final draft yourself or ask someone else to check it. Read it aloud to catch awkward phrasing.

  • Use version history (in tools like Google Docs) to track your edits and avoid losing earlier versions.

  • Turn on grammar suggestions. Make sure your settings include grammar and clarity options, not just spelling.

  • Use the comments feature for feedback. When writing as part of a team, comments help clarify changes without altering the original text.

Editing in Microsoft Word
