The process of preparing for any applied theatre or socially engaged theatre project commences with the inception of an idea—whether it is initiated by the community or the practitioner. This is followed by essential conversations with necessary stakeholder(s) to solidify the idea (Moiso, 2022). Regardless of the envisioned purpose, theme, or format for the theatre workshop, this preliminary stage is pivotal in establishing a robust foundation. This foundation, in turn, ensures the workshop’s ultimate success, relevance, and impact. This initial phase, which we refer to as the “prelude,” is the cornerstone upon which we build a transformative experience. Its significance extends beyond achieving workshop objectives; it lays the groundwork for a profound impact within the community.
STEP 1: Conduct Research to Determine Needs. Interests, and Dynamics
Community Engagement and Needs Assessment
Before delving into the comprehensive planning of the socially engaged theatre project, it is essential to establish a solid foundation. This involves conducting thorough research on the target community and engaging meaningfully with key stakeholders or community leaders through a community-consultation process. This key activity aligns with the community’s needs, interests, and dynamics. It is worth noting that understanding the community’s needs and collaborating with key stakeholders are integral to this process, ensuring the project resonates with the target audience and contributes positively to the community’s growth and development. A comprehensive community assessment is crucial to grasping the community’s unique characteristics and requirements. By proactively engaging with the community and conducting a thorough needs assessment, one paves the way for a theatre-based workshop that is impactful and responsive to its specific context. This phase exemplifies the commitment to crafting an experience that authentically connects with the community it intends to engage.
Understanding the Community’s Demographics
It is important to begin the process by collecting demographic data to understand the community’s composition, including age groups, gender distribution, ethnic diversity, and family structures. This information is invaluable for customizing your workshop to align with the community’s distinct characteristics, particularly if your focus is on youth.
Assessing Existing Community Programs
Before introducing your project, assess existing community programs and initiatives. This step helps prevent duplication of efforts and ensures your workshop complements, rather than competes with, other services and initiatives. Genuine collaboration with established programs can enhance the impact of your workshop by leveraging existing networks and resources.
Historical Context
Delve into the community’s history, exploring its founding, significant milestones, and historical events that have shaped its identity. This historical context offers a deeper appreciation of the community’s journey, resilience, challenges, and achievements. Understanding historical context can offer a clear perspective on certain patterns, social issues, and mindsets. Community members, historical sites, archival repositories, and learning institutions can hold such histories and memories. Engaging an intergenerational cross-section of community members is important for accurate, rich, and objective knowledge of the historical milestones of the community. Incorporating historical knowledge into your assessment allows you to acknowledge and honour the community’s heritage, fostering a sense of continuity and pride among its members.
Socio-Economic Factors
Socio-economic factors play a significant role in shaping a community’s needs and aspirations. This involves examining income levels, employment opportunities, educational attainment, and access to resources. Understanding the socio-economic landscape can help you design your theatre-based workshop in a way that addresses specific challenges or provides opportunities for community members to improve their circumstances.
Identification of Key Challenges
Identify the unique challenges and issues facing the community, whether related to education, social disparities, mental health, or other areas. This identification allows you to design theatre activities that tackle the community’s most pressing needs.
Cultural Nuances and Traditions
Explore the community’s rich tapestry of cultural traditions, values, and norms. Incorporate these cultural nuances into your workshop to ensure it is respectful, inclusive, and sensitive to the participants’ cultural heritage. This connection can foster a deeper sense of belonging among community members. Where appropriate, the creative and performative modes, language of expression, slang, idioms, and games, among others, can also be used in the workshop process. The decision about which language to incorporate should come from the community/participants involved because certain types of language, slang, and games are specific to people of particular age groups.
Recognizing Opportunities
Alongside challenges, communities also present opportunities for growth and improvement. Recognize these opportunities during the assessment phase, whether they involve untapped talents, resources, or potential partnerships. Tailor your workshop to harness the community’s strengths and contribute to its development, with a focus on the youth as a significant opportunity.
Engaging the Community
Engaging the community during this assessment is not just about data collection; it’s an opportunity to build trust and establish rapport. Open and transparent communication is key. Hold community meetings, workshops, meet-and-greet or information sessions to involve community members in the process. Seek their input, listen to their concerns, and involve them in shaping the workshop’s objectives. At this point, informal conversation with members of the community is important. It helps build trust and attracts the interest of people in the community to speak out and participate in creative workshops. A socially engaged theatre project was conducted in the Niger Delta, Nigeria, with Theatre Emissary International’s support in 2023. During this youth-focused applied theatre project, which was held in Otughievwen, Nigeria, the researcher was mostly at the sites of football fields where most youths in the community gathered to play football. While discussing football issues with the young players and enthusiasts, he also engaged them in the discussion of how they were impacted by the massive gas flares in the community.
Data–Collection Methods
Conduct a comprehensive community assessment by employing various data-collection methods, including surveys, interviews, focus groups, and consulting existing reports. Interviews can take place in the homes of interviewees or at their places of work. For example, when researching the impact of open grazing on farmlands, conversations with farmers can take place on their farmlands. This physical space of conversation can help create intimacy between the researcher, interviewee(s), and the surrounding farmland. It can also encourage the farmer to generate an objective response. These methods enable you to gather both quantitative and qualitative data, providing a well-rounded understanding of the community’s dynamics.
Ethical Considerations
Adhere to ethical guidelines (see UofR Ethics Forms, Policies and Guidelines) throughout the community assessment. Be truthful and honest in collecting data. Respect the privacy and confidentiality of individuals participating in surveys or interviews. Obtain informed consent and ensure that the gathered information is used solely to enhance the community through your theatre-based workshop. Let interviewees know what their responses will be used for. Conceal the identity of interviewees when they tell you to. Always put their safety and interests first.
Analysis and Interpretation
After collecting information, examine it closely to identify similarities, trends, or common ideas. This analysis informs your choices about what to include and how to organize your workshop. According to Okwori (2005), this ensures collective reflection on the community’s problems. Good or accurate analysis and interpretation would ensure that the workshops’ objectives are on the right track.
Applying the Assessment Findings
The insights gained from the community assessment should directly inform the design and implementation of your theatre-based workshop. Align the workshop’s goals, activities, and outcomes with the community’s specific needs and aspirations. This tailored approach enhances the workshop’s relevance and its potential for making a meaningful impact. After gaining a deep understanding of the community, the next step in setting the stage is to engage and collaborate with key stakeholders.

These stakeholders encompass community members, youth leaders, organizations, local schools, religious leaders, parents, youths, cultural influencers, and children. Their invaluable knowledge, support, and resources contribute significantly to the success of your initiative. To identify these stakeholders effectively, initiate your research into local entities, actively participate in community events, and solicit recommendations from community members who share your workshop’s objectives. In most cases, the theme of the project also determines the stakeholders. For example, in a research project that centres on the impact of open grazing on the production of food and cash crops in rural farming communities, farmers, traders, or those who sell food and cash crops, as well as those who engage in open grazing, will be major stakeholders in the workshop process.
Engaging these key stakeholders is a cornerstone to the success of any socially engaged theatre project. They not only offer valuable insights; they also actively participate in enhancing its impact. You establish a network of allies committed to the community’s well-being and artistic enrichment through these partnerships. In community engagement, stakeholders are vital contributors, infusing vibrancy and meaning into your project.
The Process of Stakeholder Engagement
Connecting with these stakeholders is not a one-size-fits-all endeavour; it requires a strategic and tailored approach. Here are the steps to consider:
- Build Genuine Relationships: Building authentic relationships is paramount when involving individuals. Initiate contact with potential stakeholders through meetings, phone calls, or email, and clearly articulate your intentions and the potential benefits of their involvement.
- Active Listening: While engaging with stakeholders, practise active listening by attentively considering their perspectives, needs, and concerns. This active listening fosters trust and underscores your dedication to a collaborative approach. Do not interrupt stakeholders and participants when they are talking except if absolutely necessary; this will help to create an environment of participation and inclusion.
- Communicate Value: Effectively communicate how the stakeholder’s involvement can contribute to the theatre-based workshop’s success. Highlight the potential impact on the community and the opportunities for mutual benefit. Let stakeholders know how important they are to the project’s success.
- Collaborative Planning: Incorporate stakeholders into the planning process, seeking their input on project design, content, and logistics. When working with young adults, youths, or children, do not impose decisions on them. Always ask them what they think about what is about to happen. Plan with them and incorporate their views into the process. Collaboration ensures the project aligns with the community’s unique context and needs.
- Acknowledge Contributions: Express gratitude for the contributions and support provided by stakeholders. Make them know that their contributions are very important to the success of the process. Recognition can take various forms, including public acknowledgement, inclusion in promotional materials, or participation in workshops and events.
Benefits of Stakeholder Engagement
Engaging with key stakeholders in the community yields numerous benefits, including the following:
- Enhanced Relevance: Stakeholders bring extensive local knowledge and expertise, guaranteeing that your workshop is finely tailored to the community’s needs and aspirations.
- Resource Mobilization: Stakeholders may offer vital resources, such as funding, venues for workshops, materials, and volunteer support, significantly bolstering the workshop’s feasibility and impact.
- Community Trust: Collaboration with respected stakeholders fosters trust, resulting in increased participation and engagement among community members. This can attract and/or amplify the interest of more community members to participate in the project.
- Diverse Perspectives: Involving many stakeholders introduces diverse perspectives, enriching the workshop’s content and outcomes. For instance, a workshop on the impact of gas flaring on the health of people in a community should involve the perspectives of community members, patients, and health practitioners to fully understand how gas flares affect people in the community.
- Sustainability: Stakeholder partnerships can extend beyond the workshop, establishing a foundation for long-term community engagement and future initiatives.

STEP 3: Define Clear Objectives and Identify Your Target Audience
Reaching the Zenith of the Prelude
As you approach the zenith of this preliminary journey, the final step holds paramount importance. It involves synthesizing your findings, insights, and aspirations to articulate a set of clear objectives for your theatre workshop activities, while also pinpointing the specific target audience your project is intended for.
The Significance of Defining Clear Objectives
Objectives serve as the guiding stars of your project. They provide direction, purpose, and a tangible measure of success. Clear objectives act as the foundation upon which every creative decision, activity, and outcome will be constructed. In the preliminary stage, defining these objectives entails a journey of introspection and alignment, weaving together the threads of your vision, community insights, and artistic aspirations.
Steps in Defining Clear Objectives:
- Reflect on Your Vision: Commence by revisiting the initial spark that ignited your desire to create a theatre workshop. Consider how you intend to socially and personally impact people and the kind of influence you aspire to have on participants and the community. As an artist or facilitator, what artistic goals do you hold for the workshop? Are you striving to develop specific skills in participants, explore certain themes or narratives, or push artistic boundaries? Align these goals with broader objectives.
- Incorporate Community Insights: Leverage the wealth of insights you’ve gathered from the community assessment. What are the target audience’s specific needs, interests, and challenges? How can your theatre project address these needs meaningfully and transformatively?
- Define Measurable Outcomes: Objectives should be concrete and measurable. What will success look like for your theatre workshop? Whether it’s an increase in self-confidence among participants, tangible improvement in theatre skills, or a deeper sense of community engagement, ensure your objectives are quantifiable. While it’s essential to dream big, your objectives should also be realistic and attainable within the resources and time frame available.
- Prioritize Objectives: You may have multiple objectives at times. Prioritize them to establish a hierarchy of importance. This will aid in allocating resources and focusing efforts on the most critical aspects of the workshop.
Examples of Clear Objectives:
1. Enhancing Self-Expression
Objective: “To empower participants to confidently express themselves through theatre arts, fostering self-awareness, and personal growth.”
2. Building Community Bonds
Objective: “To create a sense of belonging and camaraderie among participants by using theatre as a platform for collective storytelling and collaboration.”
3. Developing Theatre Skills
Objective: “To equip participants with foundational theatre skills—such as acting, improvisation, and stage presence—to nurture their artistic potential.”
4. Addressing Community Issues
Objective: “To use theatre as a tool for exploring and addressing community-specific issues, promoting dialogue, and encouraging positive change.”
5. Fostering Inclusivity
Objective: “To ensure that the theatre project is accessible and inclusive, catering to a diverse range of participants regardless of age, background, or ability.”
Identifying the Target Audience
While objectives provide the “what” and “why” of your theatre workshop, identifying the target audience delves into the “who.” The audience is the lifeblood of any artistic endeavour, and understanding their needs, preferences, and aspirations is fundamental to creating a meaningful and engaging experience.
Steps in Identifying the Target Audience:
1. Demographic Analysis: Commence by examining the demographic composition of your community, considering factors such as age, gender, ethnicity, and socio-economic status. This analysis will help identify the primary age group or segments your workshop should cater to.
2. Psychographic Profiling: Move beyond demographics and delve into the psychographic aspects of potential participants. What are their interests, values, and attitudes? What motivates them to engage with theatre arts?
3. Community Insights: Utilize findings from your community assessment to gain a deeper understanding of the community’s dynamics and the specific needs of its members. What are the community’s hopes, challenges, and cultural nuances?
4. Consider Inclusivity: While defining your target audience, also consider how to make your workshop inclusive. Are there groups within the community that may face barriers to participation? If so, how can you address these challenges?
5. Evaluate Artistic Goals: Consider the artistic goals and themes of your workshop. Are there particular age groups or demographics that align more closely with your artistic vision? Balancing artistic intent with audience preferences is essential.
The Synergy of Clear Objectives and Target Audience:
The meticulous synthesis of clear objectives and identifying the target audience is key to aligning your workshop’s purpose and audience. This synergy ensures that every facet of your theatre-based program, from curriculum design to outreach strategies, is tailored to meet the needs and aspirations of the intended participants.
Benefits of Defining Objectives and Identifying the Target Audience:
1. Relevance: Clear objectives and a well-defined target audience ensure that your workshop is relevant and meaningful to participants.
2. Effectiveness: Alignment of objectives with the target audience enhances the effectiveness of your theatre activities in achieving desired outcomes.
3. Engagement: Understanding the audience’s preferences and interests facilitates the creation of engaging and participatory experiences.
4. Resource Allocation: The appropriate allocation of resources, time, and efforts, optimizes the workshop’s impact.
5. Measurable Success: Defined objectives enable you to measure the workshop’s success against specific criteria.
Point Blank: Be open and flexible. Do not be static. Sometimes, after documenting the workshop objectives, some things take a different direction in the field. This is because the workshop space is an arena where what was known to the researcher could be refuted, and the unknown is unveiled. In this case, the subject of workshop discussion can take a different turn.
